The Challenges
The Chocolate Decor Company operates an online store alongside three brick-and-mortar locations in New York, specializing in souvenirs, exclusive sweets, and wine. During peak holiday seasons, the business experienced significant demand spikes, necessitating improvements to their Odoo ERP system to alleviate pressure on sales managers.
Additionally, the company aimed to establish an efficient communication system among the sales, warehouse, production, and delivery departments. Challenges arose from managing bulk orders with multiple recipients and varied delivery addresses, often requiring customized products. Addressing invalid orders resulting from incorrect delivery data was also a priority.
Syncing the operations of the online and offline stores was crucial for daily order monitoring. The company sought insights into order volumes, their origins, and pricing discrepancies between online and offline sales channels.
Solution
Solvve developed specialized functionality to streamline the processing of bulk orders with multiple recipients. This feature enables the creation of multiple line orders from a single order, facilitating efficient management. Clients can now import data to Odoo from Excel, specifying recipients and customizations for each item. For instance, they can request engraving details or select accompanying items like postcards.
To improve order accuracy, Solvve customized the sales order interface within the Odoo system by integrating QR and barcode generation capabilities. This simplifies order fulfillment in warehouses and aids in product customization during production. Visual order previews were also introduced, providing clear instructions for manufacturing and packaging. QR codes are utilized by delivery services, to optimize routes for efficient delivery.
To mitigate invalid orders, Solvve implemented double validation mechanisms, cross-referencing ZIP codes and utilizing OpenStreetMap integration. This significantly reduced the incidence of incorrect addresses. Additionally, features such as identifying customers outside the free delivery zone and offering multiple delivery service options were added. Customers can now pay for delivery directly during checkout.
For seamless synchronization between offline and online stores, Solvve developed a functionality to sync Odoo and other point-of-sale terminals. This enables daily reporting in Odoo, providing insights into inventory levels and sales performance. Special mappings were designed to facilitate the integration of this functionality into new stores, ensuring consistency across all locations.
